Tech Team Policies
The technology policies of Pikes Peak Metropolitan Community Church (hereinafter referred to as “PPMCC” or “the church”) serve to
ensure that we are good stewards with the resources that God has given us. These policies address most issues concerning the
hardware and software used at PPMCC, however as technology is a rapidly changing field, new issues or questions not addressed
in this document should be directed to the Technology Team.  

Sanctuary Equipment

The computer, projectors, VCR, DVD player and sound equipment in the sanctuary are reserved for approved use only. Only those
persons specifically trained to use this equipment may do so.

The sound team will provide training for sound equipment.

The Technology Team will provide training for authorized users for the computer/video equipment as necessary. Those using this
equipment should use all due diligence to ensure that the equipment is not damaged or misused in any way. Should a user
encounter problems while using the equipment, a member of the Technology Team should be contacted immediately to resolve the
issue.

Software (media) Storage

CDs, discs and other media owned by the church will be maintained and stored by the tech team unless the media is required to
run a program on a particular computer.

Inventory

The Technology Team will maintain an inventory of all hardware and church-owned software installed on all PPMCC computers.
Software must meet technical specifications for the computer on which it is installed. In general, software must be for Windows
2000 or higher.

Privately Supplied Software

Those who purchase software for individual use and intend to maintain ownership of the software are responsible for ensuring that
the software meets technical requirements. Software purchased under these circumstances is the sole responsibility of the
purchaser. This includes installation, maintenance and removal from computers. The purchaser agrees to abide by all copyright
laws/treaties/policies regarding the software. Software that causes a system conflict must be removed.

Privately owned software requires Technology Team approval before any installation on the main office computer or the computer
used in the sanctuary.  Staff installing their own software on the systems in their offices may wish to consult with the Technology
Team before installation to ensure that the software is adequate for the system.

Hardware

While PPMCC appreciates the donation of equipment, the Technology Team must approve use of all equipment to avoid system
conflicts and damage. All hardware is to be installed by a member of the Technology Team. Hardware will be maintained and
upgraded by the Technology Team as necessary. To this end, the Technology Team will develop and use a regular schedule for
maintenance of all computer and computer related equipment.

Tech Support

The Technology Team is comprised of volunteers. The Team meets on a regular basis (monthly) as a team. One or more Team
members also creates the presentation for Sunday and special services on a weekly basis. For issues with equipment that may
occur during the week, the Team may be contacted via email (tech@ppmcc.org) or by phone. A list of phone contacts is provided at
the church. Understanding that most volunteers also have full-time secular employment, a Team member will respond as soon as
possible.

Passwords

All users on each computer will be assigned a password by the Technology Team. The Technology Team will keep a list of these in
a secure location. Users may request password changes as needed, but should not change them without communicating
beforehand with the Technology Team.  

Downloads

Any download of materials, programs or files onto church computers must be pre-approved.  A list of pre-approved items is
included in appendix A at the end of this document. Items not on the list must be pre-approved by the Technology Team. If you are
unsure what a download is, refer to the glossary at the end of this document.  Items must be submitted at least 48 hours in advance
for approval. This may be done via email.

Internet Use

Use of the system shall not serve to disrupt the use of the system by others; system components including hardware or software
shall not be destroyed or misused in any way. Users are responsible for the appropriateness of the material they transmit over the
system.  Internet access is reserved for staff, LAB and authorized users. Because of issues associated with spy ware, cookies,
temp files and viruses, casual use of church equipment for Internet access is not appropriate.

Disposition and Assignment of Equipment

The Technology Team along with the LAB will determine the most appropriate distribution and disposition of equipment related to
technology.

The recycling and/or disposal of equipment will be determined on a case-by-case basis. When possible, equipment will be
recycled.  All equipment designated for removal will be disposed of in an environmentally responsible manner.
Glossary

Address: generally refers to a web address entered into the address line at the top of a browser window. Also called a URL.

Attachment: a file attached to an email sent with the email over the Internet

Download: taking any file such as pictures, programs, email attachments, sounds, media players, etc., from one source and it on
another source; i.e.; saving a picture from the internet to the computer, installing software, etc.

Email: electronic mail

Hardware: physical components of a computer system, including, but not limited to: mouse, keyboard, monitor, CPU and its internal
parts, external devices attached to the computer system. Such as modems and CD-ROMs

ISP:  Internet Service Provider: a business/organization that provides web access and often email services

Software: files stored and/or used on a computer system

URL: Universal Resource Locator, this is an address on the web.
